Member Terms of Service (TOS)
Welcome to the Olde Mill Pointe Property Owners Association (POA) Member Portal
This Member Portal (“Portal”) is provided as a resource for residents of the Olde Mill Pointe community (“Community”). By accessing or using this Portal, you agree to comply with and be bound by these Terms of Service (“TOS”). Please read these terms carefully, as they outline your rights and responsibilities when using the Portal. If you do not agree to these terms, please refrain from using the Portal.
1. Eligibility and Access
- Access to the Portal is by invitation only and restricted to current residents of the Olde Mill Pointe community. Unauthorized access is prohibited.
- Your access is granted based on the information provided during registration. Providing false or misleading information may result in the suspension or termination of your account.
2. Member Responsibilities

Account Security:
- You are responsible for maintaining the confidentiality of your account credentials. Any activity conducted under your account will be your responsibility.
- If you suspect unauthorized access to your account, report it immediately to the Portal administrator.

Use of Information:
- Member information available on the Portal (e.g., directory details, Community events, etc.) is for personal and non-commercial use only.
- Sharing member information outside of the Community is strictly prohibited.

Conduct:
- Respectful and courteous interactions are expected in all sections of the Portal, including the Community Forum and “Ask the Board” feature.
- Content that is abusive, discriminatory, obscene, or otherwise inappropriate is not permitted and may result in account suspension.
3. Privacy and Data Visibility
- Certain member information, such as names and contact details, may be visible to other Community members via the Directory or other features.
- By using the Portal, you consent to the sharing of this limited information with other members.
- The Portal is designed to restrict access to authorized Community members; however, complete security cannot be guaranteed, and you acknowledge the potential risk of data exposure due to hacking or other breaches.
4. Features and Usage
The Portal provides access to the following resources:
- Community Gallery: Share and view photos of Community events and activities.
- Committees & Ask the Board: Engage with Community committees and submit questions or concerns to the POA board.
- Community Documents: Access bylaws, guidelines, and other official Community documents.
- Community Events: Stay informed about upcoming events and activities.
- Community Galleries: Browse shared media from fellow residents.
- Community Surveys: Participate in surveys to help shape Community decisions.
- Community Forum: Discuss topics of interest with other members.
- Community Directory: Find contact information for other residents.
- Online Payments: Manage payments for dues and other fees securely.
- Closed Facebook Group: Access the Community’s private group for additional updates and interactions.
5. Security and Liability
- The POA takes reasonable measures to secure the Portal and protect member data. However, no system is completely secure, and the POA is not liable for unauthorized access or data breaches.
- Members are encouraged to use strong, unique passwords and exercise caution when sharing sensitive information online.
- Legal Claims Disclaimer: The POA is not liable for any legal claims, damages, or disputes arising from the use of the Portal, including but not limited to inaccuracies in content, misuse of member information, or technical issues.
6. Prohibited Activities
- Sharing login credentials or granting unauthorized access to non-residents.
- Using the Portal for unlawful, fraudulent, or harmful purposes.
- Uploading malicious content or attempting to compromise Portal security.
7. Modifications and Termination
- The POA reserves the right to modify the Portal, its features, or these TOS at any time. Members will be notified of significant changes.
- The POA may suspend or terminate a member’s access to the Portal for violations of these TOS or other Community rules.
8. Disclaimers
- The Portal is provided “as is,” and the POA makes no warranties regarding its functionality or availability.
- The POA is not liable for damages arising from the use or inability to use the Portal.
- Limitation of Liability: Under no circumstances shall the POA be held liable for any direct, indirect, incidental, special, or consequential damages resulting from the use of the Portal.
9. Acceptance of Terms
By accessing and using the Portal, you acknowledge that you have read, understood, and agreed to these Terms of Service.
